Title: Client Service Representative
Status: Non-exempt, paid hourly
Hours: Monday, Tuesday, Wednesday and Friday: 8:30 am - 4:30 pm, Thursday: 11:00 am - 7:00 pm; occasionally attend meetings or events in the evenings or on weekends.
Reports To: Township Administrator
Salary: $20.00-$21.00/hr
Location: Northfield Township Government Office and Food Pantry, 2550 Waukegan Road, Suite 200 Glenview, IL 60025
Summary:
The Client Service Representative serves as the initial point of contact for Northfield Township residents seeking assistance from the Social Services Department, including the Northfield Township Food Pantry. This role helps to ensure a welcoming and positive experience for Township visitors.
This role supports two vital services of the Northfield Township Government Office; the Northfield Township Food Pantry and Case Management teams by providing administrative support, greeting visitors, managing check-in and visitor flow while being a resource about Township and local services.
The ideal candidate will have experience in a client-facing role, ideally in social services or a non-profit organization, while demonstrating exceptional interpersonal skills, meticulous attention to detail, and the ability to establish meaningful connections with others. Additionally, the candidate will excel in performing general administrative tasks within a fast paced team setting while prioritizing outstanding service to all Township visitors.
Essential Duties & Responsibilities:
Front Desk/Administrative Duties:
- Greet and check in visitors for their appointments
- Answer phone and direct calls to the appropriate parties
- Manage calendars and schedule appointments
- Ensure the waiting area is orderly and welcoming by maintaining cleanliness, organizing seating arrangements, and replenishing informational materials as needed.
- Oversee the flow of visitors by monitoring sign-in logs, confirming the order of arrivals, and coordinating with staff to ensure individuals are seen promptly and according to their scheduled appointments or arrival time.
- Provide clear communication to visitors regarding wait times and procedures, fostering a positive and efficient experience for all.
- Answer questions about all Township programs and provide resources and referrals
- Provide administrative support to the Food Pantry Coordinator and Case Managers; such as filing, photocopying, scanning, updating files and emailing
Food Pantry Duties:
- Check in Food Pantry clients
- Review intake forms and supporting documents
- Issue Pantry ID cards
- Schedule appointments
- Answer general questions about the Food Pantry
Social Services Duties:
- Complete CEDA Energy Services Technician training (application intake)
- Schedule LIHEAP (Low Income Home Energy Assistance Program) appointments (both in-person and remote)
- Support the Case Managers at outreach events
- Attend CEDA mandatory meetings
- Act as a back up for completing CEDA/LIHEAP applications
- Process requests and track Dial-A-Ride requests (DAR)
- Provide administrative support for Dial-A-Ride, including reconciliation of used tickets, recertification and tracking

- Proven experience in a client-facing role, preferably within social services or non-profit organizations
- Demonstrates a strong ability to learn and apply new information
- Thoughtful decision making skills
- Experience working with a diverse community including different backgrounds, cultures, English language learners, perspectives
- Excellent communication, organizational and interpersonal skills
- Ability to operate in a team setting with a positive and energetic attitude
- Familiarity with local community resources and support networks
- Ability to work in a fast-paced environment and handle sensitive situations with discretion
- Strong computer and technology skills
- Proficiency in any of the following languages preferred Spanish, Mongolian, Korean or Russian
Education and/or Experience
- Associates degree or higher
- One to three years of work experience in social services, human services or related fields
Computer Skills
- Proficiency in Microsoft Office, Google Workspace, data entry
Physical Requirements
- Must be able to remain in a stationary position for a large percentage of the day
- Occasionally move about inside the office and food pantry to access file cabinets and office equipment
- Operate a computer and other office equipment, such as copy machine, postage machine and computer printer
- Occasionally move grocery carts and 30-pound containers around various parts of the office or food pantry
